Position Purpose
Responsible for providing administrative support for Dr. Arumugam Manthiram in the Walker Department of Mechanical Engineering for a variety of functions, including managing Dr. Manthiram’s research group’s procard purchasing and accounts by way of checking and verifying transactions and keeping track of monthly statements of the research group’s accounts.
Responsibilities* Serve as the primary contact for Dr. Manthiram regarding grants/contracts process, including application preparation, budget preparation/revision, proposal formatting, and editorial remarks on proposals. Serve as Office of Sponsored Projects (OSP) liaison regarding grants/budgets. Distribute information to Dr. Manthiram regarding new grant opportunities, calls for proposals, changes in contracts and grants policies for federal agencies, national organizations, and national foundations.
* Process purchasing/vouchering/IDT actions and related troubleshooting on departmental/research grant accounts. Monitor/maintain gas cylinder rentals, keep inventory of laboratory equipment, make or assist with travel reservations and reimbursements, manage and maintain research grant accounts, check and verify transactions in research grant accounts, and keep track of monthly statements of research grant accounts. Maintain databases. Work with departments to process research staff and student appointments.
* Pick up/sort faculty mail. Coordinate or schedule committee or group meetings. Prepare memoranda, prepare/proofread out\-going correspondences. Check reports or manuscripts for accuracy and prepare or proofread presentations and PowerPoint slides. Prepare or edit faculty annual reports and vita.
* Manage and update faculty web page.
* Liaison to other staff of the department as needed. Coordinate work with other campus departments or centers as needed.
* Other related functions as assigned.
Required Qualifications* Bachelor's degree and three years of relevant administrative experience or high school graduation or GED equivalent with seven years of administrative or clerical experience.
* Excellent communication skills, both written and oral.
* Excellent interpersonal skills and professional demeanor.
* Demonstrated ability to pay attention to detail and follow through.
* Demonstrated ability to work successfully under pressure of deadlines.
* Demonstrated ability with Microsoft Office (Word, Excel, PowerPoint).
*Relevant education and experience may be substituted as appropriate.*
Preferred Qualifications* Experience with maintaining research grant accounts.
* Experience in the preparation and processing of research grant and/or contract proposals. Demonstrated ability with web\-based data management systems.
* Familiarity with The University of Texas at Austin, in particular the University offices that oversee faculty research practices (including Office of Sponsored Projects and Office of Research Support and Compliance).
* Experience using UT mainframe accounting system and FRMS.
Salary Range
$55,000 \+ depending on qualifications
Working Conditions* May work around standard office conditions
* Repetitive use of a keyboard at a workstation
* Use of manual dexterity
* Climbing of stairs
* Lifting and moving
Work Shift* Standard business hours are Monday – Friday, 8 a.m. to 5 p.m.
* Work outside of normal business hours may be required on an occasional basis during peak periods.
